Travel Terms and Conditions.
I. General
Whether you're traveling for business, on a humanitarian mission, or simply heading home to see loved ones, IBC Air is your trusted link to the Caribbean. We understand the unique needs of experienced travelers and are committed to providing a reliable, flexible, and efficient air travel experience. With our focus on personalized service, we make sure that every journey is as smooth and stress-free as possible.
The U.S. Department of Transportation requires all passengers to agree, accept, and sign the terms of the Operator–Participant Agreement at the time of payment. Completion of any electronically ticketed transaction—whether by cash, check, money order, or credit card—constitutes acceptance of this Agreement. Transactions paid via the internet are recognized as having an electronic signature and acceptance by the participant.
II. Responsibility
IBC Air, as principal, is responsible to the participant for arranging and providing public charter air transportation. In the absence of negligence on the part of IBC Air, neither IBC Air nor its agents, employees, or travel agents assume responsibility for—and the participant agrees to release and hold harmless IBC Air from—any claim, injury, loss, or damage arising from third-party actions, missed connections, lost baggage, accidents, illness, or causes beyond our control such as weather, strikes, terrorism, or acts of God.
III. Reservations and Payment
Reservations may be made online at www.flyibcair.com. Full payment is required at the time of booking. Passengers have the right to review a copy of this Agreement before payment.
IBC Air accepts MasterCard, Visa, Discover, and Diners Club. Participants waive any chargeback rights arising from issues not under IBC Air’s control. Cancellations made at least 72 hours prior to departure may receive a future travel credit, less a $100 administrative fee per person.
All payments are deposited into a charter escrow account at First Merchants Bank, IBC Air’s depository. Payments are protected by a surety bond issued by First Merchants Bank, N.A. Claims must be filed within 60 days of completion or intended completion of the charter, otherwise liability under the surety bond is released. All transactions are in U.S. Dollars, and IBC Air is not responsible for currency exchange fluctuations.
IV. Cancellations, Changes, and Refunds
Tickets are non-refundable. Reservations may be changed or cancelled at least 72 hours prior to departure, subject to availability and a $150 administrative fee per passenger per flight leg. Cancellations within this period result in a credit toward future charter travel (valid for 365 days from original booking). Participants failing to notify IBC Air 72 hours before departure forfeit their ticket. Flight credits have no cash value.
V. Airport Check-In
Check-in is available three (3) hours before departure. Passengers must check in no later than one hour before the scheduled departure time and be at the boarding gate no later than 45 minutes before departure. IBC Air may resell any seat or deny boarding to passengers who fail to check in at least 60 minutes before departure. Passengers who miss flights or connections are not entitled to refunds. All passengers aged 18 or older must present valid government-issued photo identification.
VI. Baggage
Each passenger may transport one checked bag (up to 50 lbs, total dimensions ? 62 inches) and one carry-on (up to 20 lbs, total dimensions ? 45 inches) plus one personal item. Excess baggage is accepted only if space allows and may incur fees: $2.00/lb for first checked item over 50 lbs, $3.00/lb for each additional checked item. Special items such as surfboards or bicycles may incur a fee up to $350 per item.
IBC Air’s liability for lost, stolen, or damaged baggage is limited to $100, subject to proof of value. IBC Air assumes no liability for fragile, valuable, or perishable items. Claims must be reported before leaving the airport terminal on the date of arrival.
VII. Air Transportation
IBC Air charter flights are operated by IBC Airways. IBC Air reserves the right to substitute aircraft or scheduled air service when necessary at no additional cost. Aircraft type and capacity are not guaranteed.
VIII. Major Changes
A “major change” includes: (1) Change of origin or destination city (except order of stops); (2) Change in departure or return date exceeding 48 hours; (3) Charter price increase exceeding 10% at least 10 days before departure. If a major change occurs, passengers may cancel within 7 days of notice and receive a full refund within 14 days.
